WORKPLACE PRIVACY POLICY
Principles
Vega has always respected the privacy of its employees and its customers.
Protecting personal information is not only important it is now required by law,
which means that Vega must handle all personal information in accordance with the
National Privacy Principles.
Employees
The information collected and stored includes name, address, date of birth, Tax
File Number and in some cases medical history where this affects an employees
ability to undertake normal duties or the employee has a WorkCare claims history.
These details are required for payroll, superannuation, taxation and leave
entitlement purposes.
In addition personnel files may include work performance reports following reviews
undertaken by a supervisor and an employee. These records are used for performance
evaluation and identification of training requirements. In some circumstances, if
an employee has been formally advised that his/her work performance has been
unsatisfactory, a copy of any interview record or formal advice to the employee
will also be retained on file.
Personal information will not be used, or disclosed, for any other purpose without
an employees consent, except where required by taxation, superannuation or other
relevant law.
Access to this information is restricted to those staff who require the information
to provide payroll and/or administrative services to employees.
Documents are kept in secure locations with access restricted by lock and key. Data
held on computers is protected by passwords and different levels of access for
certain staff to protect the information held on Vega Systems.
All information for current and past employees is kept for the statutory periods
required by law. Resumes for prospective employees are retained for a maximum of
six months after which they are destroyed. All personal records are destroyed by
either shredding on site or by secure document disposal contractors.
Customers
Employees are instructed not to record “personal” information in respect of
customers and/or clients. The only information held on Vega premises is that
required for normal business contact purposes or related to work undertaken in
the normal course of business.
Access to Information
Any person has a right to see information held about them and to have it corrected
or updated at any time.
Should there be any enquiries relating to Vega’s privacy policy and/or any requests
to access company records in accordance with the Privacy Legislation the applicant
should place the request in writing addressed, in the first instance, to
